SANTA’S HOTELS ONLINE TERMS AND CONDITIONS
These terms are valid in following Santa’s Hotels subsidiaries: Santa’s Hotel Santa Claus, Santa’s Hotel Rudolf, Santa’s Igloos Arctic Circle, Santa’s Hotel Tunturi, Santa’s Hotel Aurora and Aurora Glass Igloos and Chalets Rakka. These general terms and conditions are applied to reservations of Santa’s Hotels, if there is no separate agreement between the customer and the hotel. The products and services which are reserved via Online system include value added taxes. We reserve the right to changes of the terms and prices.
RESERVING AND RESERVATION CONFIRMATION
Products and services are reserved via Online system in website address www.santashotels.fi/en. All reservations are confirmed by email which informs the price of the reservation and ordered products. Needed customer information are required within the reservation process in order to receive reservation confirmation. Customer needs to accept the reservation terms and conditions which are valid during the reservation. Reservations can be made by adults (persons older than 18 years) only. If a minor is accommodated alone the guardian of the minor will need to inform in written in advance that accommodation is accepted and that the guardian is responsible of the minor and his/hers actions.
PAYMENT METHODS – WEB PAYMENT
Products and services are paid mainly within the Online reservation process. You may pay in Online system with credit card or with Finnish bank web payment. Payment is delivered by Paytrail Ltd. If the payment is done with Visa, MasterCard, Eurocard or American Express, Santa’s Hotels operates only by the trader of the products and services and the provider of the products and services. Complaints are handled by Paytrail Ltd. The seller holds all liability of the transaction. Paytrail Ltd. is also the receiver of the payment. Paytrail Ltd. ARRIVAL AND DEPARTURE
Check-in on the arrival date is earliest at 3 p.m. and check-out on the departure date is latest at 11 a.m. In Hotel Rudolf the check-out is on the departure date latest at 10 a.m.
ARRIVAL AFTER 6 P.M.
Room will be reserved on the arrival date until 6 p.m. After this hotel has the right to sell the room to another customer, if the customer has not arrived or informed of the later arrival. If the accommodation has been paid in advance, hotel will keep the room reserved also after 6 p.m.
If the customer has not arrived on the arrival date and the reservation has not been cancelled within the terms, hotel has the right to charge the payments according to the terms and conditions. Minimum charge is always one night stay accommodation charge.
Cancellation terms vary depending on the reservation dates, packages and special conditions within the hotel. Possibility to cancel the reservation without charges depend on the chosen price terms on the time of the reservation. Cancellation of the reservation needs to be done in Online system.
Santa’s Hotels has the right to cancel the reservation in case of force majeure or other overpowering object. In this case the customer has the right to receive the pre-payment of the reservation fully back. Santa’s Hotels has the right to cancel the reservation in case if the necessary pre-payments of the reservation has not been paid within given timetable. For obligatory reasons hotel has the right to move the reservation into at least of the same category hotel. In this case hotel will compensate all transfer costs. Hotel reservations apply the law of accommodation and restaurant business, not the law of packaged tour operator law.
In serious medical injuries or illnesses the cancellation of the reservation is required to be informed as soon as possible and provide an official medical certificate which ables to cancel the reservation and payment compensated with only office fees reduced (35€ per room). Cancellation needs to be done before the accommodation starts. The official medical certificate or other reliable document needs to be delivered to Santa’s Hotels within 14 days of the cancellation date. If the certificate or document is delivered later than 14 days the compensation will not be paid. Cancellation made during the accommodation stay or the discontinuing of the vacation does not give the right for the compensation. Travel insurance is adviced to be checked in case of the cancellation of the reservation.
If the reservation has caused special expenses of the ordered extra services, they will be fully charged within the cancellation of the reservation.
SPECIAL TERMS AND CONDITIONS – HOTEL SANTA CLAUS AND HOTEL RUDOLF, ROVANIEMI
During the season of December-January and special events all reservations and on other dates valid offers reservations are required with 100% pre-payment which is non-refundable in cancellation or change situations. These special terms and conditions are adviced to be noted when making the reservation.
For other periods and normal priced reservations can be cancelled or changed one day before the arrival date before 6 p.m. The change of the reservation needs to be informed in Hotel Santa Claus Sales Office (tel. +358 (0)16 – 321 3227, email@example.com) or reception (tel. +358 (0)16 – 321 321) by phone or email within the office hours ( 9 a.m. – 4 p.m.).

Free cancellation 0 – 14 days from booking
50% cancellation fee until 61 days prior arrival
100% cancellation fee 60 – 0 days prior arrival
Cancellation fees apply for the whole booked period not just for the first night.
Terms and conditions may vary depending the time of the year. Possibility to make cancellation depends the chosen price at the moment of reservation.

If cancellation is made 30 days before arrival, only handling fee 50€ will apply.
Cancellation fee 100 % will be charged if the cancellation is made 29 – 0 days before arrival. In case of illness, please send us a copy of your medical certificate to avoid the cancellation fee, only handling fee 50€ will apply.
The change of the reservation needs to be informed in Hotel Tunturi Sales Office (tel. +358 (0)16 – 681 501, firstname.lastname@example.org) or reception (tel. +358 (0)16 – 68 111) by phone or email within the office hours ( 9 a.m. – 4 p.m.).

SPECIAL TERMS AND CONDITIONS – GLASS IGLOOS IN HOTEL AURORA, LUOSTO
– If cancellation is made 90 days prior to arrival, only handling fee 35€ will apply.
– Cancellation fee 25 % will be charged if the cancellation is made 89 – 70 days prior to arrival.
– Cancellation fee 50 % will be charged if the cancellation is made 69 – 46 days prior to arrival.
– Cancellation fee 100% will be charged if the cancellation is made less than 45 days prior to arrival or not at all.
– Deposit payments are required as follows: 25% due 14 days from the booking date, 50% due 46 days prior to arrival
SPECIAL TERMS AND CONDITIONS –SANTA’S CHALETS RAKKA
The reservation is confirmed by paying 100% deposit payment 21days prior arrival
The deposit payment is non-refundable
Free cancellation until 21 days prior arrival.
100% cancellation fee 20-0 days prior arrival.
We reserve the right to change terms and conditions. The customer needs to read the valid terms and conditions and accept them before making the reservation. Santa´s Hotels handles all customer information confidentially. The parts that are not handled in Santa´s Hotels terms and conditions, they are handled in reservation terms and conditions regarding accommodation services done by Finnish Hospitality Association (MaRa).
Economy Hotel Rudolf check-in: Economy Hotel Rudolf check-in takes place in Hotel Santa Claus reception at address Korkalonkatu 29.
Hotel Rakka check-in: takes place in Artic Polar, Urpiaisenkuja 3, Kilpisjärvi.
