By booking with the contract rates you accept and follow these terms and conditions. These terms and conditions follow even when sold on to a third party, which provides the written approval of Santa’s Hotels. All service provider procedures including health and safety are carried out according to the rules and regulations issued by Finland’s government. Santa’s Hotels operates according to Finnish legislation.
CHECK-IN AND CHECK-OUT Check-in and check-out times are confirmed at booking and can vary depending on season and hotel.
OFFERS AND PRELIMINARY BOOKINGS
Offers and preliminary bookings are valid for seven (7) days from the date of issue, unless mentioned otherwise. Without preliminary bookings, we cannot guarantee availability.
ROOM OCCUPANCY
Rates are valid according to the occupancy mentioned. If client wants to book a double/twin room for single use, the room rate is two times the per person in double/twin room.
DEPOSIT FEES
We keep the right to require a deposit fee at least 10 % of the full price. If the deposit is not paid in full by the due date, Santa’s Hotels has the right to cancel the booking.
PAYMENT
All bookings must be paid in full before clients’ arrival, unless otherwise agreed. The payment methods should be agreed between the parties with booking confirmation. Available payment methods are an advance payment to our bank account, a credit card payment, or invoicing.
A signed credit agreement will be required in case of supplementary bills.
RATES
All agreed rates are net rates and non-commissionable. All rates will be increased equivalently if the rate of Value Added Tax is amended or if any new tax or tax-like charge will come into force related to services agreed.
Rates are quoted in local currency and all payments must be received in that currency.
CANCELLATIONS
Any cancellations or changes to bookings must be made in writing, i.e. by e-mail, within the office hours in Finland. Any notice of cancellation received outside of the Working Days and office hours of 9.00 am and 5.00 pm shall be deemed made on the next Working Day.
The receipt there of must be acknowledged by Santa’s Hotels.
Cancellation terms and cancellation fees are dependent on the hotels’ terms, the period of when the reservation is and how long before arrival the cancellation is made. The detailed terms are displayed with the room rate information.
If the reservation has caused special expenses of the ordered extra services, they will be fully charged within the cancellation of the reservation.
MEAL AND EVENTS RESERVATIONS
The final confirmation of group size is required 14 days before the arrival. If the group size reduces more than 10% than booked in advance, we will reduce the invoice by 10% number of persons booked in advance.
If the group size is bigger than booked in advance, the invoice will be made according to the actual number of persons.

Santa’s Hotels reserves the right to more strict cancellation terms and fees. Should more strict terms apply, they will be sent separately.

NAME LISTS FOR GROUPS
Group minimum is 11 pax unless stated otherwise.
Please provide us with a name lists for the group no later than 14 days before the date of arrival. The following information must be stated on the name lists:

Names and nationalities of the guests
Passport numbers
Room allocation
Dinner bookings
Meeting room bookings
Possible early breakfast request
Special dietary needs and other special requirements
For a smoother check-in experience, please send guests’ full passport numbers with the rooming lists.
Less than 14 days prior arrival date hotel has right to release all rooms with no names with full cancellation charge and /or to charge 60 EUR per any change to the rooming list without any further notice.
CHILDREN’S RATES
Child reduction in rates is valid for children between 4 and 12 years of age. Children under 4 years old are considered infants and they stay and dine free of charge, if they do not require their own bed.
CHRISTMAS AND NEW YEAR, SPECIAL EVENTS
General rates and terms are not valid on Christmas, New Year and Epiphany package days, and during special events in towns in question. Separate rates and terms are applied.
INSURANCES
We recommend that our clients obtain a travel insurance to cover any contingencies, because Santa’s Hotels has no obligation to accept cancellations without cancellation fees, based on e.g. a medical certificate or other documentary evidence.
SERVICES PROVIDED BY THIRD PARTIES AND SUPPLIERS
The general booking and cancellation terms are applied to services sold and booked by Santa’s Hotels but provided by third parties and supplier, unless the third party or supplier presents their own booking and cancellation terms.
FORCE MAJEURE
Santa’s Hotels reserves the right to cancel a reservation due to force majeure (the hotel cannot deliver the agreed services due to a factor that affects its operations e.g. strike, fire, water damage, natural disaster, state of war etc.). taxes and similar changes which are beyond our control.
We will reserve the right to change rates in the event of an increase etc.
CHANGE OF HOTEL RESERVATIONS
For obligatory reasons hotel has the right to move the reservation into a hotel of same category. In this case hotel will organize and be responsible for transfer of a change of a hotel.
DISPUTES AND COMPLAINTS
In case of any dispute or complaint, the hotel must be notified immediately and without delay, and in any case notify the hotel in writing within reasonable time which is agreed to be seven days of checkout.
In case of a complaint during an occupancy a customer has an obligation to notify the hotel and the hotel has a right to correct a defect without any compensation. If a customer neglects to notify the hotel during an occupancy he is not entitled to any compensation.
COMPENSATION
In the case of negligent act or omission of the Hotel the compensation is in proportion to the act or omission occurred and in any case of an immaterial damage the maximum sum which shall become payable by the Hotel is triple the price paid of the services.
SEVERABILITY
If any part or provision of these terms and conditions is partly or wholly held invalid, void or unenforceable, such omission shall not prejudice the validity, effectiveness or enforceability of the other provisions of the terms and conditions.
DISPUTE RESOLUTION
Before any legal acts mentioned below both parties are obligated to submit themselves to bona fide negotiations where they have to make every reasonable effort in cooperation to settle dispute amicably and economically in a constructive manner that reflects commercial interests of both parties in order to avoid judicial proceedings or legal acts.
ACT ON TRAVEL SERVICE COMBINATIONS
Santa’s Hotels is registered in the Finnish Competition and Consumer Authority database and has deposited the needed guarantee required by the Act on Travel Service Combinations entered into force on 1 July 2018.
In case of solely hotel reservations applies the law of accommodation and restaurant business, not the Act on Travel Service Combinations.
JURISDICTION AND LAW
The contract is governed by the laws of Finland and the parties submit the exclusive jurisdiction to the Arbitration Institute of the Finland Chamber of Commerce in accordance with the Rules of the Arbitration Institute of the Finland Chamber of Commerce.
The arbitral tribunal shall be composed of the one (1) arbitrator appointed by the Arbitration Institute of the Finland Chamber of Commerce. The place of arbitration shall be Rovaniemi and the language shall be English.
